Reservation
The halls are reserved on the basis of written request which is preliminarily sent by Client to Hotel in order to coordinate order, time-limits and specifications of the event.
The request should include the following items:
- type of event; - date of event;
- for how many days the event will last;
- for how many hours per day the halls will be rented;
- number of participants;
- which room will be rented; set-up in halls; set-up in restaurants;
- meals for participants (coffee-breaks, lunches, dinners, cocktail-parties, buffet meals etc.);
- time of start and finish of service in restaurants;
- need for additional personnel for service;
- requirements of equipment which is provided by Hotel;
- equipment brought by the Client;
- necessary furniture;
- decoration of conference-hall (floral design; light, decoration etc.);
- reservation of hotel rooms for accommodation of participants;
- forms of payment;
- other conditions (registration of guests, informational support; entertaining etc.).
As a result of request coordination the Hotel and the Client will sign the contract and detailed specification which will reflect the kind and amount of provided services as well as service prices. In case of necessity to change the parameters of the request the Client will inform the Hotel about the changes in writing in a free form.
Quoted prices
Prices will be valid for a three months period upon Conclusion of Contract. Thereafter, prices may change and Hotel shall notify Client in writing. In the event of variation in the rate of VAT, all prices will be adjusted accordingly.
The agreed sum and assortment according to specifications of the agreement will not be reduced on the function date. If during function the client discovers the necessity of services which were not foreseen in the specification, the order of such services will be made in accordance with the schedule of hotel, bars and restaurants of hotel taking into account the assortment of services. The payment for these services will be made by the client by cashless settlement on the basis of additional bills or by cash paid to the cashier of the corresponding point of purchase, or by credit or plastic cards on function date.
Number attending
Client shall give to Hotel written confirmation of the number of persons attending two weeks prior to the Function. Final confirmation of the guaranteed number shall be given two working days prior to the Function, this will be the number charged unless the actual number is greater.
Cancellation
If the Client cancels the booking 7 or fewer working days prior to the planned event, the Client shall pay penalty under agreement in the following order: 30% of the agreed sum of conference room rent and 50% of the agreed sum of food and beverage for participants of function.
Prepayment
Client shall prepay 30-50% of the agreed sum to the Hotel no later than 30 days prior to the function. The remainder should be received by the Hotel no later than 7 days prior. Any additional costs shall be settled after the function not later than 10 days from the invoice date.
Punctuality
Client shall commence the function promptly at the time agreed upon with Hotel and shall ensure that those persons attending the function will vacate facilities provided at the time agreed upon with Hotel. An additional charge may be made at the discretion of Hotel for any overrun.
Installation of equipment
Without the prior written consent from Hotel, client shall not install or leave any mechanical, electrical or other equipment in Hotel. Where such equipment has been installed in Hotel, Client shall ensure that it is compatible with Hotel’s power supplies and other equipment; meets the fire regulations and is operated in a safe manner. Decoration materials may be brought into, and put up in Hotel, only with Hotel’s consent.
Hotel does not allow any fixture to the walls, floors and ceilings except with Hotel’s consent.
Hotel shall not be responsible for any loss, damage or theft of equipment left in the premises.
The full cost of repairing or replacing Hotel’s property as a result of damage or breakage will be charged to Client, whether caused directly by Client or by sub-contractor working on the Client’s behalf.
Conduct
Client will at all times conduct the Function in an orderly, safe and acceptable manner. Hotel reserves the right to exclude or eject any persons from the Function whose behavior or appearance it shall consider unacceptable. If during the function the hotel will elicit a fact of damage caused to Hotel’s property and it will be determined that the damage has been caused through the Client's fault or his subcontractor which operates on behalf of the Client, the representatives of Hotel and the Client will draw up the certificate of damage caused according to which the Client should indemnify Hotel the cost of damaged property and equipment in accordance with the price list of the Hotel.
Food and Beverages
No food or beverages of any kind is permitted to be brought or consumed in the Hotel without prior written consent from the Hotel. Any such consent will involve an additional charge.
Advertisement
The client must agree with the Hotel of the advertising, which refers to Hotel "Mirage", including in connection with the event. The hotel has the right to demand cessation of advertising and damages in the event of such an advertisement without his consent.
